How we collect, use, and protect your information

This Privacy Policy explains how Technology Xchange Solutions ("Company," "we," "us," or "our") collects, uses, discloses, and safeguards information when you visit www.txscorp.com and use our products, software, and services (collectively, the "Service").

This Service is intended for business users. If you do not agree with this Privacy Policy, please do not use the Service.

1. Information We Collect

A. Information you provide

We may collect information you provide directly, such as:

  • Name, email address, phone number, and company name
  • Account credentials (or authentication tokens if you use SSO)
  • Support requests and other communications
  • Preferences and settings you configure in the Service

B. Order and fulfillment information (including shipping information)

If you use the Service to process or manage orders, we may process order-related information that can include:

  • Order identifiers and order contents (items, quantities)
  • Shipment information (carrier, tracking number, shipment status)
  • Recipient contact information (e.g., name, shipping address, phone number, email) ("Order PII"), when included in order/shipping details and needed for fulfillment, delivery support, returns, or warranty handling

C. Information from connected platforms

If you connect third-party accounts (e.g., ecommerce marketplaces, shipping, accounting, ERP, or similar systems), we may receive data from those systems based on the permissions you grant.

D. Automatically collected data

When you use the Service, we may automatically collect:

  • Device and browser information (IP address, browser type, operating system)
  • Usage and log data (pages/screens viewed, actions taken, timestamps)
  • Approximate location derived from IP (city/state-level)

2. How We Use Information

We use information to:

  • Provide, operate, and maintain the Service
  • Authenticate users and administer accounts
  • Process and manage orders, shipments, returns, and warranty workflows
  • Provide customer support and respond to inquiries
  • Monitor, protect, and improve the Service (performance, troubleshooting, analytics)
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations and enforce our terms

3. How We Share Information

We do not sell personal information.

We may share information in these circumstances:

  • Service providers (processors): hosting, monitoring, analytics, customer support tools, and other vendors that help us operate the Service. They may access information only to perform services for us and under appropriate confidentiality obligations.
  • Connected platforms: when necessary to carry out actions you request (e.g., syncing status updates).
  • Legal and safety: if required to comply with law, legal process, or to protect rights, safety, and security.
  • Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards.

4. Data Minimization and Where We Store Order PII

We follow a minimization approach for Order PII:

  • We store Order PII (such as shipping addresses) only when needed for order fulfillment, delivery issue resolution, returns, or warranty processing.
  • Where feasible, we store Order PII as a separate contact/recipient record rather than embedding it into long-lived financial/audit records (such as invoices).
  • Access to Order PII is restricted to authorized personnel and systems that need it to perform the above functions.

5. Data Retention

A. Order PII (shipping addresses and recipient details)

We retain Order PII only as long as necessary to fulfill shipments and resolve delivery-related issues and generally no longer than 30 days after delivery (or 30 days after shipment if delivery confirmation is unavailable).

Automated deletion: We use an automated scheduled job to purge Order PII that has reached the end of its retention window.

B. Returns and warranty support

Our return/warranty processes may extend beyond the Order PII retention window. If you request a return or warranty service after Order PII has been deleted, we may require the recipient's shipping details again.

C. Customer/transaction records (non-PII) retained for 7 years

To meet certification/audit, accounting, and operational requirements, we may retain non-identifying transaction records for up to 7 years. These records may include order ID, dates, items, amounts, tracking info, or other operational data, but exclude Order PII when possible.

D. Tax and legal records

We may retain certain records as required by applicable tax and other laws. When we must retain information for legal/tax purposes, we retain only what is necessary and apply appropriate safeguards.

E. Security logs

We retain security and access logs for security monitoring, incident investigation, and audit purposes (typically at least 12 months).

6. Security

We maintain administrative, technical, and physical safeguards designed to protect information, including:

  • Encryption in transit (e.g., TLS)
  • Encryption at rest for sensitive data (including Order PII where stored)
  • Access controls and least-privilege permissions
  • Logging/monitoring and incident response procedures
  • Secure handling of credentials and tokens

No method of transmission or storage is completely secure, but we work to protect information using reasonable safeguards.

7. Cookies and Similar Technologies

We use cookies and similar technologies to:

  • Keep you signed in and maintain sessions
  • Remember preferences
  • Measure usage and improve performance
  • Help detect and prevent abuse

You can control cookies through your browser settings. Disabling cookies may limit some functionality.

8. Your Choices and Requests

Depending on your relationship to the Service and applicable law, you may request:

  • Access to, correction of, or deletion of certain account information
  • Information about our processing practices

You can also manage connected platform access via the Service settings (where available). To submit a request, contact us using the information in Section 12.

9. Third-Party Links and Services

The Service may contain links to third-party websites or services. Their privacy practices are governed by their own policies, not this one.

10. Children's Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version and revise the "Last Updated" date. If changes are material, we may provide additional notice.
